Terms & Conditions

Securing your booking with me by payment of your date reservation deposit constitutes affirmation that you have read, understood and agreed to the following terms and conditions.
Please read this agreement carefully. Upon entering into this agreement, you - the client agree to be bound by the terms within.
These are the only terms and conditions upon which I will contract with you. No alteration or substitution to these Terms and Conditions shall be valid unless agreed in writing.

1. GENERAL

1.1 Agreement of contract:
The contracted client is the lead name on the invoice. For weddings, this has to be a bride and/or groom, however a third party may make payment on your behalf.
1.2 Photographs:
Please be aware that I may liaise with your photographer to acquire photographs, which feature my work. I will also take images/video footage of my work and these images may be used for my portfolio, website and any marketing materials/collateral. Photos and video footage taken by me of your décor and/or flowers remain to be my property. My photos are not to be reproduced, copied or edited in any way by you or any third party without prior permission in writing to do so.
1.3 Service provision:
All services arranged directly by the client will be the responsibility of the client. Perfect Venue Styling Yorkshire will only be responsible for services undertaken by Perfect Venue Styling Yorkshire.
1.4 Consultations & Venue visits:
I offer an initial complimentary design consultation call. Once you have accepted my proposal/ quotation after our call, and paid your date reservation deposit, a meeting at your venue may be useful . This may be covered by your date reservation deposit , depending on the distance of your venue from HD6 1NA. This will be dependant on both the styling chosen and your venue. Additional client requested venue visits would incur a charge of £80 per appointment, plus travel costs. If for any reason, you fail to attend your design consultation without due notice, an £80 fee will be payable.
1.5 Additional Fees:
A £200 additional fee applies to the total value of all bookings on Bank Holidays, other public Holidays, and popular days such as New Year’s Eve. Late bookings (bookings made in under a month prior to the event), may also incur a late booking fee of up to £100.
1.6 Ceremony Decor:
I am happy to provide the ceremony décor and for it to be transferred to the wedding breakfast/ reception to save on costs. This however can only be done in the instance that the ceremony and reception are being held at the same venue. If your ceremony will take place at a separate location from your reception, we cannot allow décor to be transferred without prior agreement . If you require stylists to be on site for a room change around ( where the Ceremony & Wedding Breakfast / reception are in the same room) there will be an additional £200 charge for this service.
1.7 Venue fees:
In the unlikely event that your venue charges vendors and suppliers a fee, please note that the charges will be passed on to you as the client directly.

2. FRESH FLOWERS

2.1 Availability & Variations:
I endeavour to meet requests for fresh flowers however I am subject to the natural seasons in which particular types may or may not be available. This may have an impact on price and/or availability. I will be happy to recommend alternatives in keeping with your colour scheme , in such circumstances. When working with nature, there are no guarantees. I will do my absolute best to supply exactly as ordered, however due to variances in the weather , production , supply chain & seasonal availability , I cannot guarantee availability, nor exact colours & shades. Should I need to substitute any flowers for you, I will select the next best option, according to my professional judgment.
2.2 Flower conditions:
Fresh flowers are known to wilt prematurely in very hot weather; Although every effort will be made to maintain the quality and condition of your wedding flowers , this cannot be guaranteed for the entire duration of your event. Correct care advice will be provided upon delivery in the event of extreme temperatures.tures.

3. SET UP

3.1 Required setting up times:
The number of hours required to set up your venue styling depends both on the nature of your chosen décor and the size ( number of guests in attendance ) of your wedding celebration. The exact amount of time needed for set up will be confirmed ,if required ,during your final consultation. If the time constraints given for setting up are extremely limited in relation to your décor requirements, additional stylists may need to be there on the day , to ensure a timely turnaround. This will incur an additional charge of £200.
3.2 Set up conditions:
Where an installation and set up service has been requested, it is the clients responsibility to ensure that the venue is ready at the times stated. Failure to comply may result in additional charges or abandonment.
Where items such as chair covers are included in your venue package, it is the responsibility of THE CLIENT ( or designated family member / friend) to check the quality & suitability of these items prior to my adding your chosen sashes or drapes to the chairs . Any dissatisfaction or complaint regarding the quality of such items provided by your VENUE , should be made directly with your venue. Perfect Venue Styling Yorkshire accept no responsibility for items provided by other entities. Rectification of unsatisfactory items provided by other entities may be possible on the day but will incur additional costs .
3.3 Point of contact:
It is expected that the client will provide details (name and telephone number) for a point of contact for the duration of the set up/clear up. This is in the event of any difficulties with access to the venue or set up of the room on the day.
3.4 Linen:
On the day of setup, I will require that all linen is ironed and on the tables that I am to style if I am not supplying the linen.
3.5 Cutlery, crockery & glassware:
Perfect Venue Styling Yorkshire does not take responsibility for the set up of crockery, glassware or cutlery, unless the hire of these items have been arranged by me as part of your wedding venue styling. Please ensure that this is dealt with by your catering company/ other provider.
3.6 Favours & stationery:
I do not take responsibility for the setup of favours or stationery that I have not provided , unless otherwise agreed.
3.7 Stacking and un-stacking of chairs & tables:
It is the responsibility of the venue to un-stack & put out chairs and tables as required.If there is an issue on the day, I will unfortunately not be able to assist with this. There may be a delay as a result of this. *Please note that this does not apply to chairs that I provide. I will take full responsibility for un-stacking the chairs that I supply.
3.8 Outdoor conditions:
I cannot accept responsibility for any items that are used outside should they be damaged, soiled or affected by weather conditions after I up have left them e.g. aisle runners becoming extremely wet or soiled. Draping is intended to be a temporary construction , therefore severe weather conditions, wind and rain, may affect the completed look & functionality if used outdoors.
3.9 Punctuality and timing:
I allow 45 minutes on either side of the arrival time given, to allow for good/bad traffic and any delays I may encounter.If I am going to be earlier or later than 45 minutes either side of your scheduled set up time, I will be in contact with you or your wedding coordinator as soon as possible to give you an updated estimated time of arrival.
3.10 Replacement of hired items:
I endeavour to supply the specific items requested; however I reserve the right to substitute an appropriate alternative where necessary, due to untimely breakages or any reason beyond my control
3.11 Delivery and collection:
i. I will make every effort when unloading your venue styling items and/or furniture to park my vehicle/s without contravening parking restrictions. If where I am required to deliver falls outside this category (i.e. red routes, double yellow lines, resident’s parking, etc) and a penalty charge is incurred, this will be payable by the client.
ii. Delivery and collection charges ONLY cover step free access. Venues with no step free access may incur additional costs or additional assistance may be required.
iii. Delivery and collection charges are exclusive of congestion or toll charges. These will be added to the cost of delivery if applicable.

4. CLEAR UP

4.1 I will require a minimum of 1 .5 hours to clear out and pack away after an event. If this cannot be accommodated by your venue, please inform me as soon as possible.
4.2 Stock damage:
  • At the time of booking a date reservation deposit is paid , which includes delivery , set up & collection within 60 miles of HD6 1NA. To reduce admin tasks, no security bond is requested at the time of booking . This requires an understanding that if any item is broken or “lost” and not returned after the event, the value of the replacement of said item will be payable by the Wedding couple.
  • Severe damage / breakages of hired goods will be charged at full replacement value to the Wedding couple, which should be paid within 7 days.
  • Substitute items will not be accepted and all damaged items will remain the property of Perfect Venue Styling Yorkshire.

5. PAYMENT

5.1 Deposit payment to secure booking:
Your booking is guaranteed as soon as I receive your date reservation deposit payment. Your date reservation deposit is non refundable.
5.2 Agreeing to Terms and Conditions
Payment of your date reservation deposit is deemed as you having read, understood and accepted the terms and conditions of my services. Please do not hesitate to contact me if you would like clarification on any part of my terms and conditions.
5.3 Invoices & receipts:
Invoices and confirmation of receipt for payments will always be sent via email, unless otherwise requested.
5.4 Balance payment:
Your venue styling order will be due to be paid in full no later than 8 weeks prior to your event date and a final invoice will be sent in advance of this date, (if for any reason you do not receive a final invoice please contact me! ). If payment is not received by the agreed date, any personalised items or special orders cannot be guaranteed.
5.5 Amendments:
Significant changes will likely alter your previous quotation/ invoice. Only very minor changes are permitted within the final month before your event date. Please note, I will be unable to offer refunds for unwanted services or large changes within 12 weeks of your wedding date. Additional items may be added as long as they are in stock.
5.6 Cancellations:
Bookings are transferable , with agreement,,to another date within 12 months of the original booking (subject to my availability). In the event of a cancellation, no refunds will be given. Cancellations made within 16 weeks of your wedding date remain payable in full, to cover work already undertaken and to cover loss of income.
For any postponed bookings, please kindly note that prices may be subject to change and a new quotation may need to be issued. Perfect Venue Styling Yorkshire reserve the right to cancel your booking in the following conditions:
• If the venue is closed on the day of the event due to circumstances beyond our control.
• In the event of exceptional circumstances such as , but not limited to: medical emergency, family emergency, inclement weather, road closures, natural disaster, closure of venue, pandemic or similar catastrophe.
5.7 Refunds:
Cancellation by THE CLIENT will result in the forfeit of the date reservation deposit and any money paid or due to be paid prior to the event. No refunds or credits will be issued for any items that are unused- please also see section 5.6 above , re cancellations. In the unlikely event of Cancellation by Perfect Venue Styling Yorkshire, I will offer a refund of the deposit together with any funds already paid or, alternatively, a full credit towards an alternative date, to be used within 1 year of the date of the original event. All reasonable attempts will be made to arrange replacement cover at no cost to THE CLIENT in the unlikely event that Perfect Venue Styling Yorkshire cannot attend due to reasons including, but not necessarily limited to, those listed in section 5.6 above.
5.8 Force Majeure:
Force Majeure: Notwithstanding any other term or condition hereof, if any party hereto is prevented from performing its obligations under this agreement as a result of any cause beyond its reasonable control including, but not limited to, fires, explosions, floods, strikes, work stoppages, slow-downs or other industrial disputes, accidents, epidemic, pandemic, riots or civil disturbances, acts of civil military authorities or delays by suppliers or material shortages (individually and collectively “Event of Force Majeure”), neither party shall be liable for such breach or default. Only if an Event of Force Majeure has occurred (and in no other circumstances), THE CLIENT may reschedule and/or defer the date of the event/wedding to a date no later than 1 year after the original event date (subject to availability of Perfect Venue Styling Yorkshire) and any deposit or fees paid hereunder to the date of commencement of the Event of Force Majeure shall be applicable against the total fees due to Perfect Venue Styling Yorkshire in connection with such rescheduled event/wedding. In the event that Perfect Venue Styling Yorkshire is unavailable with respect to a rescheduled event/wedding within one year of the original date or the rescheduled event/wedding takes place after one year of the original date, the deposit and any and all fees paid to Perfect Venue Styling Yorkshire up to and including the date of the commencement of the Event of Force Majeure shall be deemed waived by THE CLIENT and non-refundable.
5.9 Accepted payment methods:
Payments can only be accepted via bank transfer. Payment by instalments can also be arranged – please ask!
5.10 Privacy:
Your booking, event date, contact details (address, phone, email), & any account details will be treated with complete privacy. I will not speak with any media representative or release any information unless you give express consent to do so.nsent to do so.

6. PAYMENT SCHEDULE AND FEES

THE CLIENT expressly acknowledges that I shall have no obligation to reserve, hold or set aside the date of the Wedding to render services to THE CLIENT until such time as the date reservation deposit is paid to and received by Perfect Venue Styling Yorkshire. Unless directly caused as a result of an Event of Force Majeure, any change of date of the wedding shall require a newly signed amendment in writing to this agreement, executed by both parties. Additional design work or travel fees may apply in some circumstances. THE CLIENT agrees that the initial Agreement be void and that THE CLIENT is subject to the then current pricing options. THE CLIENT agrees that if he/she /they cancels my services before they are completed, the Deposit and all additional payments due or made to Perfect Venue Styling Yorkshire to the date of termination are non-refundable , but may in some circumstances be used as a credit towards other services offered by Perfect Venue Styling Yorkshire.

7. COMPLAINTS

The Client should raise any complaints with Perfect Venue Dressing Yorkshire in writing within 7 days from the date of the event.

8. INSURANCE

Perfect Venue Dressing Yorkshire has full public liability insurance.

*I reserve the right to change these Policies, Terms & Conditions at any time without notice.

These Policies, Terms and Conditions will always be current, and override any prior Policies, Terms & Conditions provided in any other form.

No alteration or substitution to these Terms and Conditions shall be valid unless agreed in writing.
